Deposit and final payment
We are normally request guest to deposits 50% of the total cost. The terms and conditions of your reservation come into effect once your deposit is paid. The contract you enter into will be between yourself and Swan Cruises.
Cancellation Charges
1. Cancellation by guest :
Any cancellation should be referred to Swan Cruises sales office in writing by email, following these below terms.

2. Cancellation by Swan Cruise
We reserve the right to cancel your booking under some unavoidable circumstances like: weather conditions, wars, civil strife, industrial disputes, natural disasters, terrorism, or order from the Local Authority.
We have to cancel your trip due to bad weather conditions to guarantee the safety of tourists. Following policies will be applied for bad weather :
a. If the cancellation is informed before guests leave Hanoi to Halong Bay( and guests have not used any service yet): 100% refund.
b. If the cancellation is informed during the trip (guests have already used some services: transfer, lunch, day trip, hotel in Halong…): Only the actual fees of these services will be charged and we will refund whole remained amount.
c. If the cancellation is informed before 8:00 a.m the trip is cut down from 3 days/2 nights to 2 days/1 night.
d. If the cancellation is informed when our guest already spent 1st night + 2nd day activities on DAY CRUISE (Sunset) until 3:00-5:00pm will be charge 75% package 3 days 2 nights.
The cancellation is announced ONLY by Quang Ninh Local Port Authority and often in short notice of time. Therefore your understandings in these situations are highly appreciated.
Insurance
Insurance on board is applied if the real loss/ damage/ body injuries occur. Swan Cruises is strongly suggestion to buy international travel insurance before cruise date.
Liability
The liability of the company and any other party that may be involved in providing services in connection with any of the holidays in this brochure may be limited where international apply.
The company is not to be heil responsible for any act, event or omission during the time passengers are not aboard the vessel.
Beside we also provide professional travel liability insurance package with limit of indemnity up to US$250,000 provide a safeguard and immediate help for problems occurred during the trip.
Report of property loss or damage by guests
The principles of provision of services, liability and stay within the Swan Cruises Halong. By signing the registration form, as well as by direct booking or making reservation through travel agencies which are our partners for the stay at Swan Cruises Halong, the guests confirm that they have acquainted themselves and accept the terms and conditions hereof. Regulations are binding for all guests staying on the premises of Swan Cruises. In case of any equipment loss or damage by the guests, a report of equipment damage shall be executed. This report shall serve the basis for indemnity to be cashed by the guest, subject to the effective price list.
The guests are required to use the property and equipment belonging to Swan Cruises with care, to abide and comply with these rules, fire safety regulations, sanitary standards and public order requirements.
Children policy
a. Children under 5 years old are FOC, sharing room with parents.
b. Children from 5 to 8 years old are charged 50%, sharing room with parents.
c. Children from 9 to 11 years old are charged 75%, sharing room with parents.
d. Two children below 12 staying in a separate cabin will be charge 75% of the adult price. Children from 12 years older will be charged the same as adults.
Confirmation policy
All confirmations are generally confirmed by return email or fax. In case immediate confirmation is not possible, we will inform you of the booking
status at the time of reservation.
Passenger’s information
Client is requested to submit or send us via email all passenger detail at least 24 hour prior to check-in passengers: Full name, Date of birth, Gender, Nationality, Passport number, Vietnam via expiry date, contact number.

HON GAI PIER – BAI TU LONG BAY – VUNG VIENG VILLAGE – THIEN CANH SON CAVE
7.30 – 8.00: Pick up at your hotel in Old Quarter and depart to Halong bay.
11.45: Welcome guests at Hon Gai international habour
12.30: Embark Swan Day Cruise, start cruising to Bai Tu Long Bay, enjoy the beautiful limestone seascape while passing by Teapot islet, Blockhouse islet, Goat Head islet… then have lunch on board.
14.00: Arrive at Vung Vieng village. Take the rowing boat to go deep into the village and learn how the local people survive among the ocean, interact with them and visit the fish farm. You can choose the do kayaking around this peaceful village too.
16.00: Continue cruising to Cong Do area, visit the mysterious Thien Canh Son and relax on the beautiful beach.
17.00: Enjoy a sunset party and join in a cooking demonstration to learn some traditional Vietnamese dishes.
18:00: Cruise back to harbor, pass by Dragon islet and relax on board.
21.30 – 22.00: Back to your hotel in the Old Quarter. End of tour.

Day 1:HANOI – DOAN XA VILLAGE (Paddy Home)
8.00 – 8.30: Our shutter bus will pick you up at your hotel; afterwards heading to country side where will be host by local family and discover culture by easy cycling and rural eco such as replanting rice, scooping water for irrigation, catching fish in the afternoon.
11.00: Arrival to the village of Doan Xa, check in the room, take a rest and fresh up before lunch. Spend the afternoon time for an exciting biking through lush rice fields and villages where we are going to learn and actually hand on rice cultivation with Vietnamese in friendly local environment. Back to the village and relax by the pond for fishing, reading book or take strolling around village learn more about local daily life.
19.30: Start having dinners
20.00: Having tea and talking to the house owner to learn about Vietnam War and life of Vietnamese people under subsidies economic and farm cooperative time

Highly recommended to getup early for a strolling around the village then return to our host for having breakfast at 07:30 Check out at 8:30 while you are waiting the shuttle bus pass by, your tour guide will take you to visit quiet little markets in town for studying about local people, leave the market we continue to see the last place where you have chance to get to know a about how pottery and ceramic are being made.

- After receiving your final confirmation for your cruise booking, you should deposit for us the amount base on our request. It will be confirmed in your email. When we receive your deposit, we will go ahead to reserve your cruise trip. If your chosen cruise almost unavailable/sold out, we will advise you the other option and inform you the new price.
- Your booking will be just certainly confirmed when we send you the email confirmation with your deposit.
- In case you no longer want to go ahead with the booking, we will refund fully your transfer(you will paid the fee for transfer).
- Please deposit 70% of your cruise booking, the rest will pay for us at our main office in Hue City or pay by visa online. Both of link for payments will attached in your email confirmation
Notice: All the fee for your transfer will be paid by you, if you have any other request for payment, please update us, we will consider and update to you.
Depend on your time of cancellation, we charge you the specific fees as follows:
- If your cancellation more than 15 days prior to the departure date: Free of charge
- If your cancellation from 15 days to 4 days prior to the departure date: 55% of total booking
- If your cancellation less than 3 days prior to the departure date: 100% of total booking
If the cancellation is informed by Ha Long Bay Management, depend on the time of the announcement, the cancellation policies will be:
- Before departure from Ha Noi to Ha Long Bay: 100% refund
- During the trip (with some serviced used such as transfer, meals…): we just charged the services used, the rest will be refunded, we will inform you the details by email.
- With any other support, please contact us directly, we are always ready to support you.
- Free of charge for one child under 5 years travelling with 2 adults, sharing bed. For each cabin just maximum 1 child only.
- Surcharge 50% of adults rate for the child from 5 to 12 years, sharing bed and limited 1 child per cabin
- Surcharge 75% of the full cabin for 2 the child below 12 year sharing a private cabin
- For the child than 12 years will pay the full cabin rate
